Most account settings can be managed by the admin, but there is a small suite of features that are accessible only to Tandem staff. Although part of our "secret menu," these settings can be updated on request. See below for more information about our legacy settings.
You must be the account owner to request a change to one or more of these settings in your account. To request a change, contact your representative, create a ticket, or give us a call at (323) 497-0899. Be sure to provide your name and the email address associated with your account so that we can confirm that you are the account owner prior to making the update. General account users can also submit requests, but the account owner will need to confirm the change before it can be made live.
General Settings
Switch Account Owner
- Function: List and update the user with access to the complete suite of admin settings, notably billing and receipts. If you would like to update the account user, we need the written approval of the user currently listed as the owner and the new owner must be an existing user in the account.
- Default setting: The user who created the account.
Taxonomy
- Function: Activate a taxonomy, or controlled vocabulary, in the account that can be created and modified by the admin, applied to the archive, and searched by users. For more information, see the Taxonomy Overview.
- Default setting: Disabled.
Suggested Images in Asset Detail View
- Function: Allow the software to analyze your archive for similar images and display them in the asset detail view.
- Default setting: Enabled.
"Contact Owner" Button in Asset Detail View
- Function: Clicking the button when viewing an asset in detail view opens a form that allows a user to send a message to the owner of the account. This button can be concealed if the account owner does not wish to be contacted by users through this channel or for aesthetic reasons.
- Default setting: Button is visible.
New User Registration: Select Role
- Function: When users register a new account, there is a dropdown menu labeled "Select Role" that shows the permission levels in the account. This menu exists so that users can indicate their expected responsibilities to the admin reviewing their account registration request. The admin can, of course, change the user's permissions at any time. If your permission levels are not easily understood by new users or otherwise confidential, they can be removed from the registration form.
- Default setting: Roles/Permission Levels are visible to users completing an account registration.
Box, Dropbox, and Google Drive Integrations
- Function: Vault has built-in integrations with the external storage providers Box, Dropbox, and Google Drive. Once you connect your account(s) under your account settings, you can upload to and download from your external account(s). If you do not want to provide these options to your team, we can hide the integrations in your account.
- Default setting: Integrations are visible.
Default preview size
- Function: You can choose a specific size for the Preview download option available to users without high-resolution access. The options are Small, Medium, and Large.
- Default setting: Auto.
Default Background Color
- Function: Update the default background color to white, gray, or black. Individual users can manage their own preferences via the View Settings, but the default will remain in place unless otherwise changed by the user.
- Default setting: Black.
Use original download filename
- Function: All assets uploaded to your Vault account are assigned a unique 8-digit catalog number, or asset ID. This, along with the name of your account, become the default filename of the asset when it is downloaded from the account so that assets can be easily matched with reports and other analytics. If you wish to use the original filename instead, we can turn this feature off so that assets retain their original filename upon download.
- Default setting: Organization name and asset ID.
Hide Preview download links
- Function: All assets uploaded to your Vault account can be downloaded in a low-resolution watermarked "Preview" size. This can be removed so that only the Original, Large, Medium, and Small download sizes are available.
- Default setting: Disabled.
Collection Asset Counter in Browse Collections View
- Function: Remove the counters that display the number of assets in all Collections visible in the Assets > Browse Collections view. Asset counters will remain inside the Collection itself and in the View All data table view. This setting can be used for aesthetic or practical purposes. For example, if the account contains a significant number of Collections, enabling this setting will reduce the amount of data on the page and improve load times.
- Default setting: Disabled.
Enterprise Only
Enable Taxonomy on Guided Upload
- Function: Guided Upload is an Enterprise-level permission that guides a user through the upload process and prompts them to enter metadata prior to submitting. If you use a Taxonomy in your account, this setting allows you to include it in the Guided Upload.
- Default setting: Disabled.
Federations
- Function: Federations is a higher-level Enterprise account style that allows one owner to connect multiple Vault accounts into one master account called a Federation. Once the Federation is enabled, owners and users with access to multiple accounts within the Federation can switch easily between accounts. - Default setting: Disabled.
Customized User Guide
- Function: If you have created a customized user guide for your staff that includes workflows specific to your organization, you can submit it as a PDF to Tandem staff and have it display under the Help menu so that it is easily accessible for users to reference while they are within the application.
- Default setting: Disabled.
Custom Domain / Whitelabeling
- Function: If you would like to display a custom domain other than the standard [your name].tandemvault.com, you can request this as a customization and we will implement it for an additional fee.
- Default setting: Disabled.
- Function: If your organization uses a single sign-on provider such as Active Directory or Okta, our staff will work with yours to create a custom integration. You are not required to integrate your SSO if you prefer to restrict users from the Vault account.
