Taxonomies create a hierarchy of keywords that make it easier to see at a glance how your archive is categorized. It can either mimic or complement your Collection structure. A Taxonomy should be created after careful consideration of your current and future assets, with occasional updates as needed. Once you've built and refined your Taxonomy, you can begin applying (or removing) your taxonomy tags from assets. 


You begin by creating Top Level Tags and then populate within those categories as needed. Contact us at info@tandemvault.com for additional materials on best practices or a complimentary consultation. 


To create, edit, and delete aspects of this feature, you must have Manage Assets or Add Tags checked in your permission level.


Create Top Level Tags / Categories 

  1. Go to Assets > Taxonomy or click the Taxonomy icon next to search bar

  2. Click on it and select + Top Level Tag

  3. Give it a name.

  4. Click OK.



Create a New Taxonomy Subcategory 

  1. Go to the Taxonomy

  2. Find the Category you want the Subcategory inside

  3. Hover over it until the options appear on the right.

  4. Click the plus icon. 

  5. Give it a name.

  6. Click OK.


Tip: You can create as many subcategories as you need. Our example above has three levels of tags.


Rearrange Taxonomy Tags

  1. Go to the Taxonomy
  2. Locate the tag you wish to move
  3. Click and drag it once you see a dotted blue line appear
  4. Drop it where you would like it to live


All assets marked with this taxonomy tag will be affected by your changes.



Rename a Taxonomy Tag

  1. Go to the Taxonomy

  2. Locate the desired term. 

  3. Click the pencil icon next to it. 

  4. Make your changes. 

  5. Click OK. 


Browse the Taxonomy

  1. Click the Taxonomy

  2. Locate the desired term. 

  3. Click the eye icon next to it. 


Taxonomy Search 

  1. Click the Taxonomy symbol to the right of the global search term or press Ctrl+Shift+T

  2. Click the boxes next to the categories you wish to see. 

  3. Click Search at the top. 


Note: An asset must have a taxonomy tag applied to it to show up in search results. Related or adjacent tags will not trigger results unless they have also been applied to the asset(s). For example, if an asset has only been tagged "Elephants," searching "Animals," "Mammals," and/or "Large" but not "Elephants" will not return results.

Delete Taxonomy Tags 

  1. Click the Taxonomy or press Ctrl+Shift+T

  2. Click the boxes next to the categories you wish to delete. 

  3. Click Delete at the top. 


Note: If you delete a Taxonomy Tag with sub-categories, all of the sub-categories will also be deleted. 


Tip: Deleting a top-level category will also delete all sub-categories.
