Asset: An image, video, audio file, or document uploaded to Vault. Vault accepts all known file types.
Asset Families: Similar files can be linked as Parent and Child using Asset Families. This is a useful way to organize an original asset and its variations, such as cropped images or alternative edits.
Catalog #: The auto-generated number assigned to every asset uploaded to Vault.
Collection: A means of asset organization that mimics folder storage on a computer. Like folders, Collections can represent categories and be divided into subcollections as needed for easy access and navigation. Unlike folders on a computer, deleting an asset from a Collection will not delete it from Vault.
Copyright: The individual(s) or entity holding the copyright of an asset.
Creator: The individual(s) responsible for an asset’s creation.
Curation: A process that allows users with appropriate permission to accept or reject assets uploaded to Vault. Curation has three (3) categories: accepted, pending, and rejected.
Accepted: Visible to all Vault users except those with Designated Access restrictions.
Pending: Visible only to users with permission to Curate. All assets begin as pending unless the “Automatically accept assets” feature was activated during the creation of the Upload Set.
Rejected: Visible only to users with curating permission.
Editing: Users with permission to Manage Assets can edit the metadata, curation status and rating, and assign a license group for individual or multiple assets in the Upload Sets, Collections, Lightboxes and Search Results sections of Vault.
Filename: The name given to an asset before it was uploaded to Vault.
License Group: Users with appropriate permission can upload and attach documents related to licensing (e.g. creator contracts) to a designated asset or group of assets. Related: Release Group.
Lightbox: Lightboxes are used to keep track of favorite assets, organize research for projects, share work with collaborators, and assign tasks. Assets can be added to multiple lightboxes, and deleting a Lightbox or asset within a Lightbox does not remove it from Vault’s storage.
Note: Deleting assets in a shared Lightbox will affect all collaborators.
Manipulated: An asset that has been digitally altered to the extreme. The removal and/or addition of objects, general changing of scene, high dynamic range (HDR), and so on are considered manipulations. Reasonable adjustments to an asset’s levels, saturation, contrast, and sharpening are not generally considered manipulation, unless done to an extreme extent.
Metadata: Information about the asset, such as its taxonomy, permissions, history, and caption.
Permission Level: A customized set of permissions granted to a group of account holders defined by the administrator. Administrators have an unlimited number of permission levels, which allows them to maintain a high level of control over how users see, download, and utilize Vault assets.
Model/Property Released: Model and/or property release documents have been collected for the asset.
Release Group: Users with appropriate permission can upload and attach release documents (e.g. model and/or property releases) to a designated asset or group of assets. Related: License Group.
Sublicensable: The holder of an asset can relicense the asset to a third party.
Tags: Tags are descriptive labels attached to an asset via metadata. Tags can be applied within the system or imported via embedded tags such as IPTC and EXIF. Tags are not attached to any set categorization or naming convention. They primarily describe assets, so a tag may apply to many images or just one, depending on the contents of the archive.
Tasks: A means of creating and assigning duties for collaborators using Lightboxes.
Taxonomy: A way to organize and search your archive. It creates a standard naming convention for the archive that consists of categories, subcategories, and associated search terms inside those divisions. It is designed to provide an organized, consistent glossary of search terms that maps out a birdseye view of the contents of the archive.
Upload Set: The homebase for assets in Vault. Upload Sets are both a means of adding assets to Vault and a stable storage space. If you delete an Upload Set, or any asset within an Upload Set, you will permanently remove it from Vault.
Users/Members: Interchangeable terms for Vault account holders.
